Who we are

The website soleia-retreats.com is published by Claire Lemerle, operating as a sole proprietorship under the trade name “Soleia Retreats”, registered with the Commercial Register of the Canton of Geneva under business identification number CHE-435.393.251, with registered office at c/o Numendo, Rue du Marché 5, 1204 Geneva, Switzerland, hereinafter “Soleia Retreats”, “we”.

This privacy policy is established in compliance with the Swiss Federal Act on Data Protection (nFADP), as well as with the General Data Protection Regulation (GDPR) for visitors residing in the European Union.

What personal data we collect

Depending on the forms you fill in on our website, we collect the following categories of data:

  • Identification data: first name, last name, email address, phone number, city and country of residence.

  • Health data (collected only via the retreat registration questionnaire): expected due date, week of pregnancy, nature of the pregnancy (first pregnancy, single or multiple), any risk level, the healthcare professional monitoring you, current medical treatments, food allergies or intolerances, specific dietary requirements, physical pain or reduced mobility, and any other health information you choose to share.

  • Stay preferences: preferred destination, accommodation type, chosen package.

  • The content of your message: if you contact us via the contact form, the content of your request.

  • Photographs and videos: if you take part in a retreat, photographs and videos of you may be taken by our partner photographer and videographer, as part of the maternity photo session included in your stay.

  • Browsing data: IP address, browser type, pages visited, time spent on site, collected in aggregated form via our audience analytics tool.

Our website does not collect or process any banking or payment data. Payment for your retreat is made by bank transfer, directly with Soleia Retreats, outside of this website, according to the terms agreed together.

Health data is a special category of data under Article 9 of the GDPR and sensitive data under the Swiss nFADP. It is only collected with your explicit consent, given when you submit the registration questionnaire, and is handled with enhanced care.

Why we collect this data

  • To manage your registration and participation in a retreat (performance of a contract): your identification and stay preference data are necessary to organise your visit.

  • To tailor medical support to your situation (explicit consent): your health data allows Claire, your midwife, to prepare a personalised and safe support plan throughout your retreat.

  • To respond to your contact requests (legitimate interest).

  • To send you our newsletter (consent), if you have subscribed to it.

  • To produce and deliver your keepsake photographs (specific consent, collected separately during the retreat).

  • To issue invoices and meet our accounting obligations (legal obligation).

  • To improve our website and ensure its security (legitimate interest), through anonymised visit statistics.

Who has access to your data

Your data is never sold. It may be shared, strictly as necessary, with:

  • Claire Lemerle, midwife and founder of Soleia Retreats, who has access to your health data to prepare your support;

  • Our private chef, who only has access to your allergies and dietary restrictions, solely to adapt the meals;

  • Our therapists (massage, yoga), who only have access to the medical information strictly necessary to provide their treatments safely;

  • Our partner photographer and videographer, who only have access to your image, as part of the specific consent obtained for the photo session;

  • Our web hosting provider, who technically stores the data submitted via our website;

  • Competent authorities, where required by law.

All of our partner service providers (midwife, chef, therapists, photographer, videographer) are bound by a duty of confidentiality regarding the information you share with Soleia Retreats.

International data transfers

Soleia Retreats is a Swiss company. If you reside in the European Union, your data is therefore transferred to Switzerland to be processed. Switzerland benefits from an adequacy decision from the European Commission, recognising a level of data protection equivalent to that of the European Union. This transfer therefore requires no additional safeguards or formalities on your part.

How long we retain your data

  • If your registration results in participation in a retreat, your data (including your health data) is kept for as long as necessary to organise your stay, and is then archived for the legal retention period applicable to accounting records under Swiss law (10 years).

  • If you contact us without it leading to a booking, your data is kept for a maximum of 3 years from our last exchange.

  • If you are subscribed to our newsletter, your data is kept until you unsubscribe.

  • Your photographs are kept for as long as necessary for their delivery, and thereafter according to the terms specified when your specific consent was collected.

Cookies

Our website uses technical cookies necessary for it to function (caching, security, language preference).

We also use a self-hosted audience analytics solution (AnalyticsWP), which runs directly on our server and does not transmit any data to third-party servers. This tool only sets a cookie with your consent, collected via our consent banner.

Your rights

In accordance with the Swiss nFADP and, where applicable, the GDPR, you have the following rights over your personal data:

  • Right of access: obtain a copy of the data we hold about you;

  • Right of rectification: correct inaccurate data;

  • Right to erasure: request the deletion of your data;

  • Right to restriction of processing;

  • Right to data portability;

  • Right to object to the processing of your data;

  • Right to withdraw your consent at any time, particularly regarding your health data or your image, without affecting the lawfulness of processing carried out before this withdrawal.

You also have the right to lodge a complaint with the competent data protection authority: the Federal Data Protection and Information Commissioner (FDPIC) if you reside in Switzerland (www.edoeb.admin.ch), the CNIL if you reside in France (www.cnil.fr), the AEPD if you reside in Spain (www.aepd.es), or the competent authority in your country of residence.

Security of your data

We implement appropriate technical and organisational measures to protect your data against unauthorised access, loss or disclosure: secure hosting, restricted access to health data, regular updates to our tools.
